Leads Management#

Adding Custom Fields#

Outreach™ allows you to tailor your CRM by adding custom fields to your lead profiles:

  • Go to the lead creation or edit modal.
  • Define a field key (e.g., "Company_Size").
  • Enter the value for that specific lead.
  • Custom fields are preserved during imports if mapped correctly.

Technical Issue Tags & Categories#

Organize your leads more effectively by assigning specific categories and technical issue tags:

  • Lead Categories: Group leads by industry, priority, or source (e.g., "Software", "Education", "Hot Lead").
  • Technical Issue Tags: Track specific technical challenges or requirements associated with a lead to better prepare for follow-ups.
  • Both fields support custom entries via a smart autocomplete system that remembers your previous inputs.

Contact Channels#

Maintain a history of your interactions using various contact channels:

  • Meeting: Log the details and summaries of face-to-face or virtual consultations.
  • Note: Log important snippets of information or internal reminders.
  • Other Channels: Standard channels like Phone and Email are also available.
  • Last Contact Tracking: Every lead profile displays the date and specific channel (e.g., Email, Meeting) of your last interaction, helping you stay on top of follow-ups.

Bulk Actions & Quick Updates#

Save time by updating multiple leads at once or using quick status markers:

  • Bulk Mode: Toggle bulk mode to select multiple leads from the list. Once selected, you can update their status (e.g., mark all as "Converted") or delete them in one go.
  • Quick Status Updates: On the dashboard and lead list, use the quick action icons to instantly mark a lead as "Sent" or "Replied" without opening the full detail modal.
  • Advanced Filtering: Use the filter panel to narrow down your lead list by category, status, priority, or technical tags before performing bulk actions.
  • Database Cleanup: Use the cleanup tool to remove inactive leads and their associated activity logs in bulk, keeping your workspace fast and focused.

Contact Tracking#

Track every interaction across multiple channels:

  • Channels: Record interactions via Phone, Email, WhatsApp, SMS, LinkedIn, Meeting, or Note.
  • Last Contact: The system automatically tracks the date and channel of your last interaction to help you prioritize follow-ups.

Interaction History & Data Export#

Keep track of every touchpoint and take your data with you:

  • Lead History: Access a comprehensive timeline of all activities and status changes. You can also add Quick Notes directly from the timeline to log interactions without leaving the detail view.
  • CSV Export: Need to work with your data in Excel or another tool? Use the "Export to CSV" feature to download your filtered lead list instantly.

Trash Bin & Recovery#

Don't worry about accidental deletions. Outreach™ includes a safety net for your data:

  • Soft Delete: When you delete a lead, it is moved to the Trash Bin instead of being permanently erased.
  • Restore Leads: You can browse the Trash Bin and restore any lead (and its entire history) back to your active list at any time.

Visibility

Every activity you log is instantly visible in the lead's history timeline, allowing your entire team to stay updated on the latest developments.
