Troubleshooting#
Solutions to common issues you may encounter while using LedgerKnow.
Access denied or permission errors#
If you see "Access denied" or permission errors:
- Check your role - some features are restricted to specific roles
- Owners have full access, while Admins, Editors, and Viewers have limited permissions
- Contact your organization owner to request role changes
- Verify you're logged in with the correct account
Cannot edit sales records#
If you cannot edit a sales record:
- Fully paid sales can only be edited by owners within 24 hours
- After 24 hours, paid sales cannot be edited by anyone
- Viewers cannot edit any sales records
- Check if the sale is marked as "Paid" - only pending or partial sales can be edited by Admins/Editors
Solution
If you need to modify a paid sale after 24 hours, create a new sales record with the correct information and add a note referencing the original invoice.
Stock not updating correctly#
If stock levels are incorrect:
- Stock updates automatically when sales are saved
- Items marked as "charges" do not affect stock levels
- Check the stock history to see all movements
- Use manual stock adjustment to correct discrepancies
- Verify the item is not marked as a charge (delivery fees, service charges)
Invoice not generating#
If invoices are not generating:
- Ensure the sales record was saved successfully
- Check your browser's pop-up blocker settings
- Try refreshing the page and accessing the invoice again
- Clear your browser cache and cookies
- Try a different browser
Slow performance or loading issues#
If LedgerKnow is running slowly:
- Check your internet connection
- Close unnecessary browser tabs
- Clear browser cache and cookies
- Use a modern browser (Chrome, Firefox, Safari, or Edge)
- Reduce the date range in reports to load less data
Autocomplete not working#
If item or customer autocomplete is not working:
- Type at least 2 characters to trigger suggestions
- Ensure items or customers exist in your database
- Check if items are marked as "active"
- Wait a moment for suggestions to load
- Refresh the page if suggestions don't appear
Reports not showing data#
If reports are empty or not showing data:
- Check if your owner has enabled report visibility for your role
- Admins and Editors may only see their own data if configured by the owner
- Check the selected date range - expand it to include more data
- Ensure sales records exist for the selected period
- Verify report sections are enabled (not hidden)
- Try refreshing the page
Payment status showing incorrectly#
If payment status is incorrect:
- Payment status is calculated automatically based on total payments
- Pending: No payment received
- Partial: Some payment received, but less than total
- Paid: Payment equals the total amount
- Edit the sale and verify payment amounts are correct
Public invoice link not working#
If public invoice links are not accessible:
- Check if the link has expired - expired links will not work
- Verify the link was copied completely
- Check if the sales record still exists
- Try opening the link in a different browser or incognito mode
- Regenerate a new public link from the sales record
